Equipment, locations and studio hire
How to request kit, prepare for collection or delivery, and manage your booking.

Open Profile & Verification from your client dashboard. Save your full name and booking address, then upload valid photo ID and a recent letter or statement showing the same name and address. Ninth Theory reviews each document, and you can see approval status and any review note in your profile. Bring the originals to collection or delivery so we can verify them before equipment is released.

The catalogue includes cameras, lenses, lighting, audio, monitoring, grip, production accessories, props, partner locations, studio spaces and DJ or music equipment. If you need something you cannot see, contact us and we can check availability or source options.

Please allow 24–48 hours for a standard rental request. Same-day or next-day requests may be possible depending on stock and scheduling. A booking starting within five hours carries a £25 last-minute fee; otherwise a booking starting on the same day carries a £15 same-day fee. Only one booking fee applies. A request is subject to review and confirmation.

Submitting a request does not reserve equipment by itself. Ninth Theory checks stock, dates, delivery or collection arrangements and any required documents. We will confirm the approved items, dates, times and price by email.

Choose the time you need the equipment ready for collection or delivery and the time it must be returned. Every booking has a one-day minimum, including same-day hires. A next-day return by 10:00am is charged as one day; returning after 10:00am is charged as an additional hire day. For longer bookings, the same 10:00am cutoff applies on the final return date. This gives us time to prepare equipment for the next booking. Contact us before 10:00am if you may be delayed; extensions need approval and depend on availability.

Yes. A complete billing address, including town or city and postcode, is required for a rental request. Current address evidence and ID may also be requested before equipment is released.

Leicester or London collection may be available, and UK delivery can be quoted separately. Setup, partner collection, studio access and location arrangements are confirmed individually and may have additional costs. Include your preferred arrangement and location in the request.

New rental bookings include a £15 rental insurance fee. If you provide your own suitable insurance, upload the policy in Rental History. Ninth Theory will check the cover for the equipment and dates; once approved, the £15 fee is removed from the booking total and unpaid linked invoices. Insurance arrangements must be confirmed before equipment is released.

You can edit a draft or submitted request from your client account, including items, dates, times, address and notes. For an approved booking, or an urgent change, contact us with your booking reference. Added kit, date changes and delivery adjustments are subject to availability and are not confirmed until we reply.

Payment instructions are sent by email and shown with an approved rental in your client account. They include the available payment methods and the reference to use. For an advance booking, a 20% deposit is requested to secure the dates; the approval message explains any remaining balance and due date.

Advance bookings require a 20% deposit to secure the dates. Under Ninth Theory’s booking policy, deposits for advance bookings are not refundable when the booking is cancelled within three days of being made. After that, a deposit refund may be offered with a 5% holding fee; Ninth Theory may choose to waive the fee and issue a full deposit refund. This policy does not affect any statutory rights that apply to your booking. Contact us to confirm the cancellation terms for your specific request.

Contact us as soon as you know there may be a delay, and before the agreed return time. Do not assume the booking has been extended: we need to agree any change because equipment may be scheduled for another client.
